How to submit an application

IMPORTANT NOTICE FOR RESIDENTS OF GERMANY AND THE NETHERLANDS:

A NEW visa application centre (VACs) opened in Düsseldorf on May 3, 2013, and is located at Graf-Adolf-Strasse 43FOR APPLICANTS IN GERMANY AND IN THE NETHERLANDS: Effective immediately, all temporary resident applications (visitor visa, study or work permit) or permanent resident travel document applications should be submitted either on-line or through the VAC. More Details.

It is not necessary to come to Vienna to submit your application personally. You may submit applications in any category by mail, which avoids the inconvenience of waiting in line outside the Embassy. Place all your documents in an envelope.

How to submit different types of applications:

Temporary resident (visitor, student, temporary worker)

  • by mail; or
  • by private courier; or
  • in person (only if residency requirements are met).

    Residents of Germany are encouraged to apply through the VFS VAC in Düsseldorf in-person or by mail.

Please note that you cannot submit your application by e-mail.

Permanent Resident Travel document

  • by mail; or
  • by private courier; or
  • in person (only if residency requirements are met).

Family class

All applications to sponsor a family class member must be submitted to the Case Processing Centre in Canada. For more information on how to submit your application and the forms of payment, refer to Sponsoring Your Family.

Economic Class

All applicants in the economic classes must submit their initial application to the Centralized Intake Office (CIO) in Canada. For more information on how to submit your application, please refer to the Citizenship and Immigration Canada (CIC) website.

Hours of Operation

  • In-person temporary resident applications (visit, study, work):
    Monday to Thursday from 8:30 to 11:30.
  • In-person immigration applications:
    Monday to Thursday from 8:30 to 12:30 and 14:30 to 15:30.
  • Closed to the public on Fridays.
  • Excluding holiday closures (may differ from local holidays).

Security at the embassy:

No cell phones allowedFor security reasons, wireless devices including cellular phones, computers, cameras, PDAs (personal data assistant) must be switched off on the premises.

Visitors to the Embassy are asked not to bring parcels, backpacks or luggage with them except in cases of emergency. You may be requested to leave such items outside of the offices at your own risk.

Please note that food and drink are not permitted in the embassy.

Using a private courier

If you use private courier, you must make arrangements for a pre-paid airway bill indicating your name and your customer number.

For temporary resident applications (visitors, students, temporary workers), please provide the pre-paid airway bill with your application.  Once the processing of your application has been completed, we will contact you so you can organize the pick up of your documents with the private courier company.

Please note that the embassy does not cover courier services for clients. If you do not make such an arrangement, the Embassy will send your documents

  • to IOM Pristina if your mailing address is in Kosovo. The IOM will contact you when your documents arrive; or
  • To IOM Sarajevo if your mailing address is in Bosnia Herzegovina. The IOM will contact you when your documents arrive; or
  • To your mailing address if it is in any of the other countries this visa office is responsible for. The office will send your documents as registered mail.
