Open to: External applicants residing in Hong Kong, all current Consulate General employees occupying an indeterminate or term position, emergency employees, and spouses and dependents of Canada Based Staff who meet all the essential qualifications stated below and whose applications are received by the closing date.

This selection process may be used to create an eligibility list of qualified candidates for this and other similar positions, with various tenures, including indeterminate or term at the Consulate General of Canada in Hong Kong and Macao.

Summary of responsibilities

Responsible for client service, handling applications, and/or researching information within established rules and process under general supervision. Provides multi-task support services to office operations.

Enters and validates information in departmental on-line systems, reviews applications and documents, identifies shortcomings including incomplete applications, missing or irregular information. Maintains filing system, searches internal systems and accesses departmental websites to search and track information. Researches automated/manual information systems to support information gathered for the processing of the file/application.
Participates in a system of rotation to perform other duties as required.

Essential Qualifications

Candidates must clearly demonstrate on their application that they meet all essential education, language, and experience criteria and are within the area of selection.


  • Successful completion of Secondary School


  • Ability to communicate effectively (speaking and writing) in English;
  • Ability to communicate effectively (speaking and writing) in one of the following: French, Cantonese, or Mandarin;


  • Minimum of 1 year of work experience in a general office environment;
  • Experience using a computer, word processing and spreadsheet software, electronic mail and other web-based applications in an office environment;
  • Experience working in a client-service environment, including the delivery of courteous and effective in-person service;

Rated requirements:

Only candidates who meet the education, language and experience requirements will be contacted for assessment of the rated requirements. The assessment of the rated requirements below may include an interview, a written test, and other tests that will consist of a series of questions designed to evaluate each applicant's knowledge, abilities and personal suitability for the position.


  • Knowledge of general office procedures and practices;
  • Knowledge of various computer systems for work processing, spreadsheet software, and electronic mail;


  • Ability to take direction and follow instructions;
  • Ability to plan and organize work flows, set and manage priorities;
  • Ability to work effectively in a high pressure environment;
  • Ability to communicate clearly, orally and in writing;
  • Ability to analyse and interpret information (such as policies, procedures, and/or legislation) in an effective manner;

Asset Qualifications

Preference may be given to candidates who have the following asset qualifications:

  • University Degree;
  • Ability to communication (speaking and writing) in two or more of the following: French, Cantonese and/or Mandarin;

Operational requirements

  • Required to work overtime periodically;
  • Ability and willingness to travel occasionally;

Conditions of Employment

  • Ability to lift and move files, heavy boxes and objects that weigh up to 10 kg.
  • Successful candidates must possess a valid work authorization or otherwise be permitted to work legally in Hong Kong by the closing date and for the duration of the employment period.
  • Successful candidates must be able to obtain and maintain a valid Reliability Status (RS).

The appointment of the successful candidate will be subject to obtaining Reliability Status (RS). To conduct the RS process, the candidate must submit the following documents on being selected by the Mission:

  • Completed Reliability Status Check forms (provided by the Consulate General)
  • Consent form for Reliability Status Check – for local criminal record check and Canada’s vetting/evaluation (provided by the Consulate General)
  • Proof of address from your bank or other recognized companies stating your name and your address
  • Professional and education mark sheets or certificates
  • Letters of reference
  • Reference checks – from three referees
  • HKID card or valid work permit
  • Passport photo x 1
  • Credit check results
  • Other documents as required

Selection Process

A language test may be administered to assess fluency.
